下面就是完整系统,以及这周内你亲手搭出来的具体方法。

大多数人用 AI 的方式,像是在用一个失忆的临时工。

打开一个聊天窗口。贴上一段背景信息。拿到回复。关掉标签页。下一次对话呢?又得从头开始。重新解释你是谁。重新解释你的业务。然后祈祷它能给出点有用的东西。

这不是 AI 员工。这只是一个有点个性的搜索引擎。

问题不在 AI。本质上是你没有给它任何可以记住的东西。

第一部分:知识库

Obsidian 是一款免费的笔记应用,所有内容都以纯文本文件的形式保存在你的电脑里。没有订阅。没有绑定。只有文件夹和彼此链接的 markdown 文件。

我把它变成了一整套业务操作系统。

里面有一个 Memory 文件。你可以把它理解成给一位永不遗忘的员工准备的入职文档。里面写着我是谁,我的业务做什么,我们的组织结构,我们的流程,我们使用的工具,我的沟通风格,以及我的目标。也就是在我开口之前,Claude 需要知道的一切。

里面有一个 Client Roster,也就是客户总表。所有活跃客户都在里面,附带关键细节、健康状态,以及负责人是谁。

里面有一个 Action Tracker,也就是行动追踪表。所有未完成事项都在里面,谁负责,截止时间是什么时候。

里面有一个框架资料库,销售流程、制作流程、组织结构,全部都有文档。

里面还有一个 Templates 文件夹,用来放通话记录、跟进邮件、提案、每日简报的模板。这些都是可复用格式,Claude 会自动填充。

而且这一切都是互相连接的。每个文件都有上级。所有内容最终都回连到一个中心 Home 页面。它就是你业务的知识图谱。

你完全可以在一个下午把这套基础结构搭起来。最花时间的是 Memory 文件,因为你本质上是在做一次大脑倾倒,把一个人想和你并肩工作时需要知道的所有东西都写下来。

但一旦它存在了,之后你和 AI 的每一次对话都会立刻变得更有用。

因为它不再是从零开始了。

第二部分:自动记忆循环

这一部分,才是真正改变一切的地方。

我用 Fathom 录制并转写我的通话。Zapier 会监控我的 Fathom 账户,然后自动把每一份转写内容丢进 Google Drive 的一个文件夹里。没有任何手动步骤。每一通电话,不管是客户会议、团队站会、需求沟通,还是一对一交流,都会作为完整转写稿落进 Drive。

Claude Cowork 可以通过 MCP 连接器访问我的 Google Drive。所以每天它都能拉取最新的转写内容并进行处理。

所谓处理,具体是这样:

它会读取原始转写稿,提炼讨论摘要,抽出所有已经做出的决定,识别所有行动项,包括谁负责、截止时间是什么时候。然后把这些内容写入我 Obsidian vault 里对应的文件。行动项进入 Action Tracker。决策被记录下来。和客户有关的信息会被归档到对应客户名下。

三周前,我开过一个电话会。会上我们决定调整某个客户的产品发货处理方式。后来我完全把这件事忘了。两天后我去问 Claude 这个客户的状态,它直接从那份转写稿里调出了当时的决定,还带着我们为什么这么决定的完整上下文。

我不记得了。系统记得。

这就是用 AI 和拥有一个 AI 员工之间的区别。员工会记得会议里发生过什么。哪怕你自己已经忘了。

你不一定非得用 Fathom。任何能把转写结果导出到 Drive、Dropbox 或本地文件夹的工具都可以。Otter、Fireflies,甚至 Google Meet 或 Zoom 自带的录制功能也行。重点是,把通话变成文本,把文本放到 Claude 能读到的地方,然后让它去做提取。

第三部分:智能层

Obsidian 是大脑。但它单独存在时,更像一个文件柜,结构清晰,组织有序,但它是被动的。

真正让它活起来的是 Claude Cowork。

Cowork 运行在你的桌面端,并通过 MCP,也就是 Model Context Protocol,连接到你真实在用的工具。你可以把 MCP 理解成一串钥匙,让 AI 能进入你的工作环境。Slack、Google Calendar、Gmail、Google Drive、ClickUp,不管你用什么都行。你授权它访问哪些内容,剩下的它自己处理。

这意味着 Claude 不只是读取你的 vault。它还会读取你的 Slack 频道,查看你的日历,调取你 Drive 里的文件,再把这些信息和它已经掌握的知识交叉比对。

我可以直接说,看看我的 Slack,告诉我各个客户现在是什么情况。几分钟后,它就能给我一份完整状态报告。谁进展正常。谁被卡住了。哪里反馈迟迟不到。哪些事情需要我关注。全程不用打开 Slack。

我也可以说,这周我接下来有什么安排。它就会把我的日历调出来,同时配上 vault 里的相关背景信息,比如我要见哪些客户,上次聊了什么,还有哪些行动项尚未完成。

这不是聊天机器人。

这是一个幕僚长。

复利效应

真正有意思的地方在这里。

每一通被转写并处理过的电话,都会给 vault 增加新的上下文。每一次和 Claude 的会话结束后,摘要都会被写回 vault。每一条决策都会被记录。每一个行动项都会被追踪。

这个 vault 每天都在增长。因为 Claude 每次会话开始前都会先读取它,所以你每和它聊一次,它知道的东西就更多一点。

第一周,它知道的是基础信息,也就是你是谁,你在做什么。

第四周,它知道你的客户、你的团队互动方式、你的流程、你的沟通偏好,以及过去 20 次对话的结果。

第八周,它已经开始发现你漏掉的东西。提醒你那些你已经忘记的会议承诺。标出逾期未完成的行动项。把业务不同部分之间原本分散的点连起来。

它并不是按传统意义变得更聪明。

它之所以更聪明,是因为它读取的知识库一直在增长。你的 AI 员工每天都会再多完成一点自我入职。

你可以怎么自己搭出来

整套系统一共由五部分组成:

  1. Obsidian(免费)也就是你的结构化知识库。建一个 vault,里面放一个 Memory 文件、一个 Home 页面,再加上一些你要追踪的文件夹,比如客户、通话、行动项、模板。花一个下午把你的 Memory 文件写出来。这是给 AI 准备的入职文档。写得越完整越好。

有一个建议帮我省了很多麻烦,就是把你的 Obsidian vault 放进 Google Drive。我的工作会跨多个设备,工作室台式机、家里的笔记本、出差用的笔记本。如果 vault 放在本地文件夹里,它就只能待在一台机器上。把它放进 Google Drive 里,或者 Dropbox、iCloud 也行,它就能到处同步。每个工作站看到的都是同一个 vault。每个工作站给 Claude 的上下文也都一样。Obsidian 原生就支持这一点,创建 vault 的时候直接把路径指到 Drive 文件夹就行。

  1. 通话转写 → Google Drive。找任意一个能录音和转写通话的工具。把转写结果送进 Drive 里的某个文件夹。Zapier、Make,甚至手动导出都可以。目标只有一个,就是让每一通电话都变成一个可搜索的文本文件。我现在用的是 Fathom,加上一个 Zapier 自动化,监控新转写并直接把它们丢进 Drive 里的 Transcripts 文件夹。全程零手动步骤。但哪怕只是一个简单流程,导出文件后拖进文件夹,也够用。这里别追求完美,先做起来更重要。

  2. Obsidian MCP。这是桥梁。有一个开源的 Obsidian MCP 服务器,可以让 Claude 直接读写你的 vault。装好之后,把它指向你的 vault 文件夹,Claude 就能读取所有文件、创建新笔记、编辑已有笔记、移动内容,并在整个知识库里搜索。Obsidian 正是靠这个,才从一个笔记软件变成了一个活的系统。没有它的话,你还是得像大多数人一样,在 Claude 和笔记之间来回复制粘贴。有了它,Claude 就直接往你的 vault 里写。整个配置大概五分钟,是一个 Node 包,在 Claude 的 MCP 设置里配一下就行。

  3. Claude Cowork + MCP 连接器。这就是智能层。Cowork 是运行在你桌面上的 Claude,它能访问你真实在用的工具。每个工具都通过自己的 MCP 连接器接入,比如用于 vault 的 Obsidian MCP,用于转写和文件的 Google Drive,用于团队沟通的 Slack,用于日程安排的 Google Calendar。每个连接器都只需要几分钟设置。最关键的设置只有一个,就是在你的 Cowork 用户偏好里,告诉 Claude 在每次会话开始前先读取你的 Memory 文件。正是这一个指令,给了它持续存在的上下文。没有这一步,你手里只是一个很强的工具,却没有记忆。有了这一步,你手里就是一个员工。

  4. 自定义指令。这是让整套系统真正连起来的胶水,也是这套方法能够脱离 Cowork 继续成立的原因。Claude 有一个 custom instructions 字段,在 Cowork 里它叫用户偏好,在 Claude Projects 里它叫项目指令。你只需要写一句话,Before answering any question, always search the Obsidian vault for relevant notes. Use what you find to inform your response. 就这一句。仅仅这一句,就意味着 Claude 在每次回复前都会先读取你的 vault。它在 Cowork 里能用,在 Claude Projects 里能用,在任何 Claude 能访问 MCP 的地方都能用。你也可以再加一些回写规则,比如告诉 Claude,不同类型的信息应该保存到哪里,行动项进追踪表,决策进日志,会话摘要进 sessions 文件夹。我会把这些规则都写进 Memory 文件本身,这样 Claude 在读取上下文的同时,也会一起读取这些路由规则。整套系统会逐步变成一个可自我维持的结构。

就是这样。没有代码。没有复杂自动化。Obsidian 是免费的。MCP 连接器是免费的。付费部分只有 Claude,以及你选择的转写工具。真正搭起来也就一个下午,其中大部分时间都花在写 Memory 文件上。

我并不是说这能取代你的团队。我的 15 人团队无可替代。他们做创意决策,建立关系,完成那些 AI 根本做不了的工作。

但那些运营上的消耗呢?那些上下文切换呢?那些上周电话里到底定了什么的反复追问呢?那些早上 7 点翻 Slack,只为了弄明白昨晚发生了什么的时刻呢?

这些事,不需要非得你自己来做。

工具的上限,取决于背后的系统。

PART ONE: THE KNOWLEDGE BASE

Obsidian is a free note-taking app that stores everything as plain text files on your computer. No subscription. No lock-in. Just folders and markdown files that link to each other.

I turned mine into a full business operating system.

There's a Memory file — think of it as an onboarding doc for an employee who never forgets. It contains who I am, what my business does, how we're structured, our processes, our tools, my communication style, and my goals. Everything Claude needs to know before I say a word.

There's a Client Roster — every active client with their key details, health status, and who's responsible.

There's an Action Tracker — every open task, who owns it, when it's due.

There's a Library of frameworks — sales process, production workflow, org structure. All documented.

There's a Templates folder — for call notes, follow-up emails, proposals, daily briefs. Reusable formats that Claude fills in automatically.

And it all links together. Every file has a parent. Everything connects back to a central Home page. It's a knowledge graph of your business.

You could build the basics of this in an afternoon. The Memory file takes the longest because you're essentially writing a brain dump of everything someone would need to know to do your job alongside you.

But once it exists? Every conversation with AI becomes dramatically more useful. Because it's not starting from zero anymore.

PART TWO: THE AUTOMATIC MEMORY LOOP

This is the part that changed everything for me.

I use Fathom to record and transcribe my calls. Zapier watches my Fathom account and automatically drops every transcript into a folder in Google Drive. No manual step. Every call — client meetings, team standups, discovery calls, one-on-ones — lands in Drive as a full transcript.

Claude Cowork has access to my Google Drive through MCP connectors. So every day, it can pull the latest transcripts and process them.

Here's what "process" actually means:

It reads the raw transcript. Extracts a summary of what was discussed. Pulls out every decision that was made. Identifies every action item — who owns it, what's the deadline. Then it writes all of that to the correct files in my Obsidian vault. Actions go to the Action Tracker. Decisions get logged. Client-specific info gets filed under the right client.

Three weeks ago I was on a call where we agreed to change how we handle product shipping for a specific client. I forgot about it completely. Two days later I asked Claude about that client's status and it pulled up the decision from the transcript — with the exact context of why we made it.

I didn't remember. My system did.

That's the difference between using AI and having an AI employee. An employee remembers what happened in the meeting. Even when you don't.

You don't need Fathom specifically. Any transcription tool that exports to Drive, Dropbox, or a local folder works. Otter, Fireflies, even the built-in recording in Google Meet or Zoom. The point is: get your calls into text, get that text somewhere Claude can read it, and let it do the extraction.

Obsidian is the brain. But it's a filing cabinet on its own — structured, organised, but passive.

Claude Cowork is what makes it active.

Cowork runs on your desktop and connects to your actual tools through MCP — Model Context Protocol. Think of MCP as giving AI a set of keys to your work environment. Slack, Google Calendar, Gmail, Google Drive, ClickUp — whatever you use. You authorise what it can access and it handles the rest.

This means Claude isn't just reading your vault. It's also reading your Slack channels, checking your calendar, pulling up your Drive files, and cross-referencing everything against the knowledge it already has.

I can say "check my Slack and tell me what's going on across clients" and get a full status report in minutes. Who's on track. Who's blocked. Where feedback is late. What needs my attention. Without opening Slack.

I can say "what do I have coming up this week" and get my calendar pulled alongside relevant context from the vault — which clients I'm meeting, what we discussed last time, what actions are still open.

That's not a chatbot. That's a chief of staff.

THE COMPOUND EFFECT

Here's where this gets interesting.

Every call that gets transcribed and processed adds context to the vault. Every session with Claude ends with a summary written back to the vault. Every decision gets logged. Every action gets tracked.

The vault grows every day. And because Claude reads it at the start of every session, it knows more every time you talk to it.

Week one, it knows the basics — who you are, what you do.

Week four, it knows your clients, your team dynamics, your processes, your communication preferences, and the outcomes of 20 previous conversations.

Week eight, it's catching things you missed. Reminding you of commitments from calls you've forgotten. Flagging overdue actions. Connecting dots across different parts of your business.

It's not getting smarter in the traditional sense. It's getting smarter because the knowledge base it reads keeps growing. Your AI employee onboards itself a little more every day.

HOW TO BUILD THIS YOURSELF

The whole system is five pieces:

  1. Obsidian (free) — your structured knowledge base. Set up a vault with a Memory file, a Home page, and folders for whatever you track: clients, calls, actions, templates. Spend an afternoon writing your Memory file. This is the onboarding doc for your AI. Be thorough.

One tip that saved me a lot of headaches: put your Obsidian vault inside Google Drive. I work across multiple machines — studio desktop, laptop at home, laptop on the road. If your vault lives in a local folder, it's stuck on one machine. Put it in Google Drive (or Dropbox, or iCloud) and it syncs everywhere. Every workstation has the same vault. Every workstation gives Claude the same context. Obsidian supports this natively — just point it at the Drive folder when you create the vault.

  1. Call transcription → Google Drive — any tool that records and transcribes your calls. Route the transcripts to a folder in Drive. Zapier, Make, or even a manual export. The goal is: every call becomes a searchable text file. I use Fathom with a Zapier automation that watches for new transcripts and drops them straight into a "Transcripts" folder in Drive. Zero manual steps. But even a simple workflow where you export and drag the file into a folder works — perfect is the enemy of done here.

  2. The Obsidian MCP — this is the bridge. There's an open-source MCP server for Obsidian that gives Claude direct read and write access to your vault. You install it, point it at your vault folder, and suddenly Claude can read every file, create new notes, edit existing ones, move things around, and search across everything. This is what turns Obsidian from a note-taking app into a live system. Without it, you'd be copy-pasting between Claude and your notes like everyone else. With it, Claude just writes straight into your vault. The setup takes about five minutes — it's a Node package you configure in Claude's MCP settings.

  3. Claude Cowork + MCP connectors — the intelligence layer. Cowork is Claude running on your desktop with access to your actual tools. You connect each tool through its own MCP connector: the Obsidian MCP for your vault, Google Drive for your transcripts and files, Slack for team communication, Google Calendar for your schedule. Each connector takes a few minutes to set up. The key setting: in your Cowork user preferences, tell Claude to read your Memory file at the start of every session. That single instruction is what gives it persistent context. Without it, you have a powerful tool with no memory. With it, you have an employee.

  4. Custom instructions — this is the glue that makes the whole thing work, and it's what makes this portable beyond Cowork. Claude has a "custom instructions" field (in Cowork it's called user preferences, in Claude Projects it's the project instructions). You write one line: "Before answering any question, always search the Obsidian vault for relevant notes. Use what you find to inform your response." That's it. That single instruction means Claude reads your vault before every reply. It works in Cowork, it works in Claude Projects, it works anywhere Claude has access to the MCP. You can also add rules for writing back — tell Claude where to save different types of information (actions to the tracker, decisions to a log, session summaries to a sessions folder). I keep all of this in my Memory file itself, so Claude reads the routing rules at the same time it reads the context. The whole system becomes self-sustaining.

That's it. No code. No complex automations. Obsidian is free. The MCP connectors are free. The only paid pieces are Claude and whatever transcription tool you choose. The actual setup is an afternoon, and the Memory file is most of that time.

I'm not saying this replaces your team. My 15 people are irreplaceable. They make creative decisions, build relationships, and do work that no AI can do.

But the operational overhead? The context switching? The "what did we agree on that call last week?" The scrolling through Slack at 7am trying to figure out what happened overnight?

That stuff doesn't need to be you.

Your tools are only as good as the system behind them.

Most people use AI like a temp worker with amnesia.

Open a chat. Paste some context. Get a response. Close the tab. Next conversation? Start from scratch. Re-explain who you are. Re-explain your business. Hope it gives you something useful.

That's not an AI employee. That's a search engine with a personality.

The problem isn't the AI. It's that you're not giving it anything to remember.

PART ONE: THE KNOWLEDGE BASE

Obsidian is a free note-taking app that stores everything as plain text files on your computer. No subscription. No lock-in. Just folders and markdown files that link to each other.

I turned mine into a full business operating system.

There's a Memory file — think of it as an onboarding doc for an employee who never forgets. It contains who I am, what my business does, how we're structured, our processes, our tools, my communication style, and my goals. Everything Claude needs to know before I say a word.

There's a Client Roster — every active client with their key details, health status, and who's responsible.

There's an Action Tracker — every open task, who owns it, when it's due.

There's a Library of frameworks — sales process, production workflow, org structure. All documented.

There's a Templates folder — for call notes, follow-up emails, proposals, daily briefs. Reusable formats that Claude fills in automatically.

And it all links together. Every file has a parent. Everything connects back to a central Home page. It's a knowledge graph of your business.

You could build the basics of this in an afternoon. The Memory file takes the longest because you're essentially writing a brain dump of everything someone would need to know to do your job alongside you.

But once it exists? Every conversation with AI becomes dramatically more useful. Because it's not starting from zero anymore.

PART TWO: THE AUTOMATIC MEMORY LOOP

This is the part that changed everything for me.

I use Fathom to record and transcribe my calls. Zapier watches my Fathom account and automatically drops every transcript into a folder in Google Drive. No manual step. Every call — client meetings, team standups, discovery calls, one-on-ones — lands in Drive as a full transcript.

Claude Cowork has access to my Google Drive through MCP connectors. So every day, it can pull the latest transcripts and process them.

Here's what "process" actually means:

It reads the raw transcript. Extracts a summary of what was discussed. Pulls out every decision that was made. Identifies every action item — who owns it, what's the deadline. Then it writes all of that to the correct files in my Obsidian vault. Actions go to the Action Tracker. Decisions get logged. Client-specific info gets filed under the right client.

Three weeks ago I was on a call where we agreed to change how we handle product shipping for a specific client. I forgot about it completely. Two days later I asked Claude about that client's status and it pulled up the decision from the transcript — with the exact context of why we made it.

I didn't remember. My system did.

That's the difference between using AI and having an AI employee. An employee remembers what happened in the meeting. Even when you don't.

You don't need Fathom specifically. Any transcription tool that exports to Drive, Dropbox, or a local folder works. Otter, Fireflies, even the built-in recording in Google Meet or Zoom. The point is: get your calls into text, get that text somewhere Claude can read it, and let it do the extraction.

PART THREE: THE INTELLIGENCE LAYER

Obsidian is the brain. But it's a filing cabinet on its own — structured, organised, but passive.

Claude Cowork is what makes it active.

Cowork runs on your desktop and connects to your actual tools through MCP — Model Context Protocol. Think of MCP as giving AI a set of keys to your work environment. Slack, Google Calendar, Gmail, Google Drive, ClickUp — whatever you use. You authorise what it can access and it handles the rest.

This means Claude isn't just reading your vault. It's also reading your Slack channels, checking your calendar, pulling up your Drive files, and cross-referencing everything against the knowledge it already has.

I can say "check my Slack and tell me what's going on across clients" and get a full status report in minutes. Who's on track. Who's blocked. Where feedback is late. What needs my attention. Without opening Slack.

I can say "what do I have coming up this week" and get my calendar pulled alongside relevant context from the vault — which clients I'm meeting, what we discussed last time, what actions are still open.

That's not a chatbot. That's a chief of staff.

THE COMPOUND EFFECT

Here's where this gets interesting.

Every call that gets transcribed and processed adds context to the vault. Every session with Claude ends with a summary written back to the vault. Every decision gets logged. Every action gets tracked.

The vault grows every day. And because Claude reads it at the start of every session, it knows more every time you talk to it.

Week one, it knows the basics — who you are, what you do.

Week four, it knows your clients, your team dynamics, your processes, your communication preferences, and the outcomes of 20 previous conversations.

Week eight, it's catching things you missed. Reminding you of commitments from calls you've forgotten. Flagging overdue actions. Connecting dots across different parts of your business.

It's not getting smarter in the traditional sense. It's getting smarter because the knowledge base it reads keeps growing. Your AI employee onboards itself a little more every day.

HOW TO BUILD THIS YOURSELF
